Scheduling
Who is in which store on which day, built and changed without a person rebuilding a spreadsheet. Coverage followed the plan instead of whoever answered their phone first.
A multi-state brand portfolio, 100+ field professionals, three states. The program worked because the back office did not need a back office. This is the system, the problem it solved, and what it means if you want the same thing inside your business.
Before
The business was a brand portfolio selling into cannabis retail, and its field team was growing. People in stores, demo days, staff trainings, relationships with the people behind every counter. The program worked, and every week it covered more ground.
But every hour of that work had to be scheduled, verified and paid for. Who is in which store today? Did the visit actually happen, or did someone say it happened? What did the week cost? What did we learn? What do we do next? Those five questions landed on the same few people, every single week.
The answers lived in phone calls, spreadsheets, texted photos and end-of-month summaries assembled from memory. The real limit on growing the operation was not demand for it. It was the manual work of running it.
What we built
No one was replaced. The people doing the chasing, the tallying and the assembling got that part of their week back, because four jobs stopped needing a person to hold them together.
Who is in which store on which day, built and changed without a person rebuilding a spreadsheet. Coverage followed the plan instead of whoever answered their phone first.
Every visit checked in, photographed and logged, so the report writes itself instead of being assembled at month end from memory and text messages.
What went where, what was used, what to reorder, tracked without a phone call. Nobody drove an hour to a store to find the materials were not there.
One place the numbers land, updated as the work happens, so decisions are made on this week’s data instead of last month’s.

What this means for you
The field operation solved one problem: more ground to cover than the headcount allowed. The answer was people in the field and a system behind them that ran itself — so the team spent its week doing the work, not keeping track of it.
That identical problem now sits inside the business: ordering, paperwork, compliance records, follow-up, reporting. Work that consumes hours and produces nothing anyone can see. It is the same kind of work the field system already took off the table, and it is what we now build for operators directly.
